Before the implementation, the individual event processes were well established in terms of content, but operationally they involved an enormous number of manual steps and system breaks. Lunch & Learn formats in turn required a particularly pragmatic solution, as they are often planned at short notice and can quickly create operational stress in catering, room planning and attendee coordination.
The central challenge was therefore to create a shared event architecture that maps multiple formats while remaining flexible enough to adapt to different communication and target-group requirements.
An integrated event and attendee management solution was implemented for the client, systematically connecting Marketing Automation and CRM. The solution is based on a reusable process pattern that can be configured differently and adapted in terms of communication depending on the event format.

Dynamic event and registration forms
Dates, venues and event parameters are maintained via defined structures and automatically made available in forms or registration flows.
Container logic for event parameters
Individual events have their own data containers created for them. These contain event-specific information such as venue, date, name, time slot, format or further parameters. The containers serve as a lookup source for forms, mailings, badges and certificates.
CRM integration and attendee screening
Registration data is connected to the CRM. Internal teams can check whether a contact is already known and whether the person belongs to the desired target group. Approval is handled pragmatically via internal e-mails with clear action buttons.
Automated communication
After registration, approval, cancellation, attendance or conclusion of the event, the appropriate e-mails are sent automatically – such as double opt-in, confirmation, cancellation, badge link, thank-you e-mail or certificate.
On-site process with badge and scan
For relevant formats, confirmed attendees receive a badge. This can be scanned on-site using an app. The stored registration and CRM data is transferred into the capture questionnaire, meaning the on-site conversation team spends less time on basic data entry and can move directly into the specialist dialogue.
The solution is bidirectionally connected to the CRM. This means that data from registration and event interaction is not only used for communication, but also documented in the CRM and made available for further processing. At the same time, CRM information can feed into approval, dialogue and on-site processes.
Process logic in detail
Roadshows: selective invitation and professional on-site process
For roadshows, a process was implemented that supports a mobile showroom and a nationwide tour. Trade visitors register in advance via a dynamic form. The available roadshow dates come from maintained event containers in which the responsible staff members store parameters such as venue and date.
After registration, the prospect first receives a double opt-in e-mail. At the same time, an internal review e-mail is sent to the back office. This contains all relevant registration data along with action buttons for approval or rejection. The back office checks in the CRM whether the contact is already known and whether the person belongs to the desired target group.
Upon approval, a confirmation e-mail is sent automatically. This contains a link to a badge. On-site, the badge can be scanned using an app. The data already known from registration and the CRM is transferred into the capture questionnaire. This means the conversation team on-site does not need to spend time on basic data capture and can move directly into the specialist exchange.
After the event, a thank-you e-mail is automatically sent out. This creates a closed process from registration through screening and confirmation to on-site capture and follow-up.
Showrooms: decentralised scaling via a standardised pattern
Showroom events use the same process core as the roadshows: registration, screening, approval, badge, scan, CRM matching and follow-up. The particular added value lies in scalability.
The solution was designed so that staff at different locations can create new showroom dates themselves – based on a provided standard pattern. This means new events no longer need to be built individually each time by central teams or external service providers.
The standard pattern ensures process reliability, while decentralised maintenance ensures speed and flexibility. Locations can act independently without having to reinvent the technical logic. At the same time, data structure, communication and CRM connectivity remain consistent.
Architecture sessions: premium audience with the same process foundation
Architecture sessions address a particularly demanding target group. Architects are strategically important for the client because they influence design decisions, make product recommendations and are frequently involved early in planning processes.
Operationally, architecture sessions use the same platform logic as roadshows and showrooms. The difference lies primarily in the content communication: e-mail copy, value proposition, visual quality, landing page content and, where applicable, information on certificates or CPD points must be tailored to the expectations of this audience.
This creates an efficient approach: the technical process does not need to be rebuilt, while the communication layer can be individualised to a high standard and in a target-group-appropriate way.
Lunch & Learn: short-notice planning without Excel and e-mail chaos
For Lunch & Learn formats, a particularly operational pain point was addressed. These events are often planned at short notice, sometimes with only a few weeks' lead time. Before the implementation, attendee lists, meal preferences, late additions and coordination were frequently managed via Excel files and e-mail chains. This led to stress, errors and unclear information for the organising team, catering and room planning.
The solution is based on a form generator or meta-form. The organiser captures central event parameters such as venue, time, event name and, where applicable, further information such as CPD points or certificate relevance. A registration form is automatically generated from this and can be distributed to the desired target group.
Attendees register directly via the form. If required, registration can be restricted to persons with a corporate e-mail domain. The data flows directly into the Marketing Automation solution and the CRM. Catering and facility-relevant information such as meal preferences, menu choices or allergens can be captured in a structured way and made available in real time.
After the event, a thank-you e-mail is sent automatically. If required, a certificate is additionally provided. The event name and relevant parameters are output via the container logic.
The result is a significantly more controlled process: fewer manual lists, fewer late additions, fewer errors and greater transparency for everyone involved.
