Application

The company uses a marketing automation solution that supports the classic marketing mix – from trade fair communication and newsletters to product communication and internal communications. On this basis, an additional gated content and download centre module was implemented.

The goal was not only to make high-quality content assets such as brochures, fact sheets, technical product information, machine documentation and further documents centrally available on the website, but also to make them usable for lead management, profile enrichment and subsequent sales processes.

The download centre allows marketers to manage new content directly in the marketing automation solution. This includes headline, short description, long description, preview image, category, link to the document and further parameters. No programming skills or adjustments to the content management system are required. The brochures also describe this approach: content is managed centrally and can be configured, structured and published without the support of CMS or IT teams.

The download centre is integrated into the website via iFrame. This makes all relevant content assets available at a central location on the website. At the same time, available documents can also be displayed contextually on product or machine pages. Prospects can thus see directly on the relevant machine or solution which brochures, data sheets or fact sheets are available and request them via an integrated form.

This means that downloading a document is no longer treated as an isolated individual action. Every content interaction can be used as a signal: which topic interests the visitor? Which product group is relevant? Is this an early information need or already a more concrete purchase intent?

Starting point

Before the download centre was introduced, providing content was typically associated with several challenges. Product information, brochures or fact sheets often had to be maintained via the CMS, manual download pages or individual landing pages. This created dependencies on website or IT resources, longer coordination processes and inconsistent publishing workflows.

In addition, gated content was in principle a suitable approach for lead generation, but it did not automatically lead to a qualified lead process. A single download initially tells you relatively little about whether a contact is already sales-ready. If such a contact is handed over to sales immediately and without further qualification, this can lead to disappointment on both sides: the prospect feels contacted too early, while sales receives leads that do not yet have a concrete need or recognisable purchase intent.

Especially for a technically demanding industrial company, the content context is decisive. A download relating to a pump, a filter, a pelletising system, a pulverisation solution or a recycling application can carry very different meanings. It may involve general research, technical orientation, project preparation, spare parts interest, service needs or a concrete investment project.

The challenge was therefore to turn a simple download process into a structured qualification process. Content should not merely be provided, but systematically used to identify interests, progressively enrich profiles, trigger nurturing journeys and hand over qualified leads to sales only when they have reached sufficient maturity.

A download centre module was implemented for the company within the existing marketing automation solution. This connects content management, website integration, form logic, profile enrichment and follow-up communication in a seamless process.

The solution comprises the following key components:

Centralised content management in marketing automation

Marketing staff can create and manage new content assets directly in the marketing automation solution. Relevant information is maintained for each document, such as title, short description, long description, preview image, category, language, product reference and link to the document. Once content is saved, it can automatically become visible on the website. Separate maintenance in the CMS is not required.

iFrame integration into the website

The download centre is seamlessly integrated into the company website via iFrame. This keeps the user experience consistent while technical and editorial control is handled through marketing automation. Marketing can update content independently without having to touch website templates or CMS structures for every change.

Central download centre on the website

All relevant content assets are available at a central location. Prospects can find and request brochures, fact sheets, white papers, technical information or product documentation there. Content is structured thematically via categories and descriptions to make it easier to find.

Contextual display on product and machine pages

In addition to the central download overview, available documents are also displayed directly on the respective product or machine pages. This means that a prospect can immediately see the relevant documentation in the context of a specific machine, technology or application.

Integrated request form

Access to gated content is provided via an integrated form. This captures the required data, takes consent processes into account and then triggers the automated delivery of the requested documents.

Progressive profiling

After the first download, the contact is not overwhelmed with long forms. Initially, only a few basic details are requested. In later interactions, further information is progressively added, such as industry, role, product interest, application area, region or buying stage. As a result, each further interaction builds a more accurate picture of the contact without unnecessarily raising the barrier to entry.

Profile enrichment in lead management

All download interactions are assigned to the contact profile. This makes it visible which content was requested, which topics are repeatedly relevant and how a contact's interest develops. Individual downloads thus become an exploitable interest history.

Prospective lead scoring

In the medium term, a lead scoring model can be built on the basis of content interactions. Anyone who downloads multiple pieces of content, repeatedly views certain topics or responds to follow-up e-mails receives a higher maturity score. Activity scoring, profile scoring and content scoring can be combined to classify leads in a more automated way.

Automated nurturing journeys

Automated follow-up communications can be triggered on the basis of the requested content. A prospect who downloads a white paper, a brochure or a fact sheet on a particular technology, for example, subsequently receives relevant case studies, product information, application notes or further content.

Qualified hand-off to sales or CRM

Only when defined criteria are met – such as several relevant downloads, a certain score, matching profile data or a recognisable buying stage – can the lead be handed over to sales or synchronised with the CRM.
